In Schoox, users with Admin rights, Training Managers or Managers with the Assign Training permission enabled, can assign multiple Courses to multiple users.
There are two different ways to complete this kind of assignment:
- Assignment Template
- Assign Multiple Courses option
Let's check both of the options in more detail!
1. Assignment Template
The Assignment Template is an option available to the Admins and the Training Managers of an Academy (if the Admin has allowed them to assign training). To learn how to leverage the Assignment Template, read more: How can I assign training from the Assign Training page?
2. Assign Multiple Courses Option
The Assign Multiple Courses option can be found under the Assign Multiple Courses page. To find the Assign Multiple Courses page, head to the Administration Panel, click on Online Training, and then select Assign Multiple Courses. From this page, you can select to assign multiple different Courses to multiple users.
Now let's check the assignment process in more detail!
Individual/Advanced Assignment
First, you have to select which users you want to assign to this training. You have two different assignment options: Individual or Advanced.
Individual assignment
You can find individuals easier using the search field and drop-down filter menus. In order to select an individual, simply click the Plus symbol next to his/her name in the left-hand column. The user will then appear in the right-hand Selected column. To remove an individual from the list, click the Minus symbol.
Once you have selected the users that you want to assign, you can select if you want the users to have this training completed in a certain number of days or by a specific date, by setting a Due Date.
You can also select to assign the course's prerequisites by checking the "Assign Prerequisites" checkbox. If you check this option, then all prerequisites of the course you select on the next step, will also be assigned to the selected users.
Add a message (if you want to) and click the Next button to select the Courses.
Advanced assignment
You can select to assign users based on their job and location. Under Advanced selection, select the specific job to which this process should be applied. Then, select both the desired Above Units and Units in their respective columns, filtering using the drop-down menus, if needed.
You can also filter the users further based on custom fields that you have set up for your Academy by clicking the "Choose Additional Fields" dropdown.
Another option you have below is to select to assign only users that have a specific Preferred Content Language selected.
Last but not least, you can also select to combine two different groups of users to match your needs. You can read more on how to combine two assignment groups here: How to combine (un)assignment rules?
After you have applied all the needed filters and selections, the number of individuals affected will appear below.
You have the choice to either make this a one-time assignment and/or set up an auto-assignment rule that will automatically assign individuals under these parameters in the future.
First, you can select if you want the users to have this training completed in a certain number of days or by a specific date, by setting a Due Date.
You can also select to assign the course's prerequisites by checking the "Assign Prerequisites" checkbox. If you check this option, then all prerequisites of the course you select on the next step, will also be assigned to the selected users.
If you want to proceed with creating an auto-assignment rule, check the Automated assignment rule checkbox.

Add a message (if you want to) and click the Next button to select the Courses.
Selecting the Courses
After having selected the users, once you click Next you will be redirected to the next page, where you have to select the Courses you want to assign.
You can filter the Courses by Category, or search for a specific Course by using the search bar. Once you find a Course you want to assign, select it by checking the checkbox next to its name.
A number will appear above displaying the number of courses you have selected to assign. Click Open List to review the list of courses that you are about to assign.
Don't forget to click Assign when finished!
Please note that (Assistant) Unit Managers and (Assistant) Head Ofs will be able to assign courses only to users that either belong to their (Above) Unit or their underneath (Above) Units. Moreover, they will be able to select only the courses that they have permission to access, based on the relevant category permissions.
