How can I track/manage all Performance Reviews of my Academy?

If you are an Admin and you want to have a quick view of all performance reviews along with their status, go to the Manage Performance Reviews page from your Administration panel, find the desired review cycle and click on the View button.

Track_Requests.pngYou can now have an overview of the Reviewer, the Reviewees, and the status of each review.

Using the organizational structure filters on the top of the page, you will be able to easier locate the Reviewers based on the Above Units/Units they are under. You can also use the search bar to find a Reviewer by name.

Add Reviewers

On this page, you also have the option to add a new Reviewer that is currently not in this profile. Just click the green Add Reviewers button and a new box will open with all the users that match the criteria to be added as reviewers in this profile.

After selecting the user you want to add as a Reviewer, you also have to select the Reviewees they are going to review, by clicking the Select Reviewees by Name and Job option.

Please note that this is a required step, or else you will not be able to save your selection.

Track Reviews

If the reviewer you want to check is already in the profile just click on the little arrow next to their name, and a box will expand below them that will show you all the users that this Reviewer has to review at the moment.

Click on the info icon right next to the image of each employee to find some more information on their organizational structure.

Under the "Completion" column you can see not only the % progress but also how many reviews have been completed.

Please note that this number takes into account both self-reviews and Manager's reviews. In this case, for example, we have 3 users and for each one of them, we only have one manager's review. So, the total number of reviews needed for this cycle is 3.

Manage Reviewees

As you can see on this page, you also have two available options per reviewee:

Settings: There are cases that you may need to change the reviewer for a PR profile or for a specific employee. There are two different Settings options with two different functionalities.

Please note that these options are only available for profiles that do not have a Metrics or Goals section included.

As an example, please check the screenshot below:

1. Click on Settings, below the Reviewer's name and then select “Replace Reviewer”.

In this case, all the Reviewees under this Reviewer will be moved to the Reviewer you select from the dropdown. The names that will populate on this dropdown list are users who have permission to review users. They might already be Reviewers in this profile, or not. From this option, you also have the option to change the Reviewer's job.

2. Click on Settings, below the Reviewee’s name and then select “Change Reviewer”.

In this case, only this Reviewee will be moved to the Reviewer you select from the dropdown. Changing the reviewer of a specific reviewee will replace them from their current reviewer to the new reviewer (not from all reviewers with the same job on the cycle).

Also, the “Change Reviewer” dropdown on specific reviewees contains all academy users that have performance review permissions. If you select this option, then the user for which you selected to Change Reviewer, will be transferred to the Reviewer of your choice. From this option, you also have the option to change the Reviewee's job.

Remove Employee: You can completely remove the employee from this cycle. Please note that removing a specific reviewee from a reviewer will only remove them from their current reviewer (not from all reviewers with the same job on the cycle).

Add Reviewees

While you are checking the reviewees under a specific Reviewer, you also have the option to add more reviewees for them to review. Just click the green Add Reviewees button. Then just select the users you want to add as reviewees. You can also select the specific job that you want these users to be reviewed for. 

Don't forget to click Save when finished!
