As an academy Admin, you can adjust the following Content Library related Academy Settings:
Content Management Module
You have the option to activate/deactivate the Content Management Module.
By turning this off, the employees of your academy will not have the permission to access the Content feature.
Please note that this setting does not affect users with Admin rights, Training Managers, and Content Managers.
Library
You can create categories and subcategories of content and set different access (read/write) rules for them based on roles and jobs. Imagine them like folders and subfolders. When users enter the library they will be able to see and store content based on their access rules. Your library has also a non-editable category called Shared Content. This is the category where users can send content if they want to share it with other users of the Academy. You can set separately the rules about who will have read and write access for this category.
A) Who can store content in the Shared Content category of your Library?
You can decide if Training Managers and Employees will have the ability to store content in the Shared Content folder of your Academy.
Tips!
- If the Content Management Module Setting is set to "No", the Employees option will not be available.
- If this is enabled for Training Managers or Employees, the relevant role will also have the ability to read the content stored in this folder.
B) Who can store content in the Shared Content category of your Library?
You can decide if Training Managers and Employees will have the ability to read content that is stored in the Shared Content folder of your Academy.
Tips!
- If the Content Management Module Setting is set to "No", the Employees option will not be available.
- This is automatically enabled for the relevant role if setting (A) is enabled for them.
C) Should tags be visible in your Library?
D) Users with write permissions in a folder can also manage content in those.
E) Provide access to your Library with conditions
You as an admin, have the option to only allow users to access your library only after they have accepted your customized Terms of Use. You can add a link, and define the terms and conditions for each language separately! Each user will see the terms that are saved for his UI language.
Please note that this setting is only available when the Content Management Module setting is enabled.
F) Hide Content Views Count
G) Do you want the content to require approval before being displayed in your library?
You as an admin, have the option to allow content to be posted in your Library only after you have approved it.
Employees will still have the option to upload content, however, they will need the approval of an Admin/ Content manager in order for the uploaded content to be displayed in the corporate library.
- Once an employee uploads content, the Admins, as well as the Content managers of the academy, are being informed that an employee has uploaded new content in the Academy library which is pending their approval to become public.
- The Admin/ Content Manager has the option to approve (or not) the uploaded content. A new library category is available to them, with the name Items pending approval.
- Once the Admin/ Content Manager approves the content, the content uploader receives an email notification informing him that the uploaded material was approved and is now live.
