Managing Purchased Courses in My Academy

After you purchase a Subscription Package for your Academy you can manage the Courses within this package and assign them to your employees easily! Let's review all the available options you have below!

Categorizing Subscription Courses

As an Admin, you have the option to manage the subscription courses within the Admin panel. You can select to have the relevant courses presented to the users who have been allocated a license, or categorize them and hide them from all users so that they can see only the courses assigned to them. Assigning Subscription Courses

If you have allocated licenses to your Academy members, you can then assign them to any of the subscription courses you want to. To do so, click Admin/Manage on the upper navigation bar, select Online Training from the left panel and then click Assign Training.

In the panel that opens select External Courses from the drop-down list in the top right corner. Here you will find all the subscription courses you have purchased for your Academy.

Use the search bar to find the training you want to assign. Once you find it click on its name to select it!

Then you can select how you want to assign this course. You can read more on the process here: Assigning Training

Please note that your members should first be allocated a license and after that assigned with a course, or else they will not be able to access the assigned course.

Using Subscription Courses in Curricula

You can add external courses as steps to a curriculum in the same way you would do it with regular courses! 

Please note that in order for the purchased courses (that are part of the curriculum) to be assigned to the users, the sequence of the actions is important. Specifically, first, the user should get a license and then the curriculum assignment should take place. If a user gets assigned to the curriculum without having a license for the purchased courses, the purchased courses will not be assigned to them, even when the license allocation happens.

Unassigning Subscription Courses

If you have assigned Subscription Courses to your Academy members, you can then unassign those from them very easily. To do so, click Admin/Manage on the upper navigation bar, select Online Training from the left panel and then click Unassign Training.

In the panel that opens select External Courses from the drop-down list in the top right corner. Here you will find all the subscription courses you have purchased for your Academy.

Use the search bar to find the training you want to unassign. Once you find it click on its name to select it!

Sending Announcements

You can select to send announcements to the users that you have assigned to your subscription courses. Read more on the process here: Sending Announcements for External Courses

Reporting on Subscription Courses 

To track users’ progress on Subscription Courses, hover over Admin/Manage on the upper navigation bar and then click Reporting. You will be redirected to the Employees Dashboard. Choose the Employees, Courses, or Exams tab, depending on what you want to monitor. Filter your results by selecting an option from the External Courses drop-down list on the right.

Retirement of Subscription Courses

When a subscription course gets retired, the course will still be in the Academy, but won't launch anymore. The provider should provide you with an upcoming retirement date when this happen, so that changes can be made. Courses ready for retirement should not be archived, since the retirement date is used to handle these properly. When the course retires, the course will be inactive and lectures cannot be opened.

The provider often releases a replacement course - you can contact the provider to see which course is the best alternative. For admins to get a notification when an externally purchased course gets retired, at least one member needs to be enrolled in the course.
