Triggering the Questionnaire/Poll With Event Attendance

Currently, if an event contains a questionnaire or poll, then this questionnaire/poll is sent out to all registered users once the event has been completed. However, there is no way to verify that all registered users have attended the event, so the responses may be irrelevant to the event.

This feature updates the questionnaire/poll trigger factor to ensure that only users that have attended an event will receive the questionnaire/poll.

Additionally, it updates the completion flow for course/curriculum connected events that require a questionnaire/poll to be complete. Going forward, only users that have attended the event, have the required score and have completed the required questionnaire/poll, will receive the event certificate and the corresponding event progress.

To recap, for Course or Curriculum-connected events with questionnaires, this will change the following:

  • When the event questionnaires are being delivered to the users
  • When the event itself should be completed if there is a questionnaire required for the completion of the event

Course or Curriculum Connected In-Class Training Events

The scenario that is addressed will take into consideration cases when:

  • an In-Class Training is required to complete the course/curriculum
  • a Questionnaire is required to get the In-Class Training certificate

Example:

Let’s assume that the In Class Training has a duration of 8 hours and a passing score of 80%.

Expected Behavior of the Functionality

→ To receive the questionnaire the user will need to be marked as Αttended. In order to mark the user as attended you will need to navigate to the Event Registrants page of an In-Class Training, and click the radio button that defines if the user Attended or was Absent.
→ If the user is marked as Αbsent, then they won’t receive the questionnaire
→ In this case (Course Connected In Class Training), the event score reflects the user’s performance in the In-Class Training. Each user’s event score is manually added by the instructor/Admin on the Event Registrants page.
→ To receive their event certificate and get the course progress for the In-Class Training, the user will need to complete the questionnaire and have a passing score, in our case over 80%.
→ Once a user with a passing score completes the questionnaire, they will receive their event certificate and their course progress will adjust accordingly. So, if the course has 4 steps, with this In-Class Training being one of them, then the progress will increase by 25%.

Reporting

→ In Report Builder, in the In Class Training Report, for each user you will be able to track:

  • the time attended (Attendance Duration (minutes) field, which already exists)
  • the user’s score (Score field, which already exists)
  • the completed questionnaires (Completed Questionnaires field, to be added in this implementation)

Course or Curriculum Connected Live Session

The scenario that is addressed will take into consideration cases when:

  • Live Session is required to complete the course/curriculum
  • Questionnaire is required to get the Live Session certificate

Example:

Let’s assume that a live Session has a duration of 60 minutes and a Completion Percentage of 80%.

Functionality

→ To receive the questionnaire, the user will need to pass the needed event Completion Percentage.
→ In this case (Course Connected Live Sessions), the event Completion Percentage reflects the user’s attendance rate (minutes attended / duration of the live session). So, the user will need to attend at least 48/60 minutes to receive the questionnaire example, If users attend 10 minutes, then they won’t receive the questionnaire.
→ Once the user receives the questionnaire and completes it, they will receive their event certificate and their course progress will adjust accordingly. This means that if the course has 4 steps, with this Live session being one of them, then the progress will increase by 25%.

Reporting

→ In Report Builder, in the Live Sessions Report, for each user you will be able to track:
the time attended (Attendance Duration (minutes) field, which already exists)
the completed questionnaires (Completed Questionnaires field, to be added in this implementation)


Standalone In-Class Training

The scenario that is addressed will take into consideration cases when:

  • An In-Class Training is standalone and not connected to training
  • A questionnaire is required to get the In-Class Training certificate

Example:

Let’s assume that the In Class Training has a duration of 8 hours and a passing score of 80%.

Expected Behavior of the Functionality

→ To receive the questionnaire the user will need to be marked as Αttended. In order to mark the user as attended you will need to navigate to On the Event Registrants page of an In-Class Training, and click the there is a radio button that defines if the user Attended or was Absent.
→ If the user is marked as Αbsent, then they won’t receive the questionnaire
→ In this case, the event score reflects the user’s performance in the In-Class Training. Each user’s event score is manually added by the instructor/Admin on the Event Registrants page.
→ To receive their event certificate, the user will need to complete the questionnaire and have a passing score, in our case over 80%.

Reporting

= In the In Class Training Reports of Schoox Report Builder you will be able to track:

  • the time attended per user (Attendance Duration (minutes) field, which already exists)
  • the user’s score (score field, which already exists)
  • the number of completed questionnaires (Completed Questionnaires field which includes the titles, to be added in this implementation)

Standalone Live Session
The scenario that is going to be addressed with the upcoming change will take into consideration cases when:

  • a Live Session is standalone and not connected with training
  • a Questionnaire is required to get the Live Session certificate

*Note: Standalone Live Sessions do not have a Completion Percentage.

Expected Behavior of the Functionality

→ Any user who joined the event, will receive the questionnaire once the Live Session has finished and their attendance time is updated. The users’ attendance data may be updated automatically through the integration (ex. Zoom) or manually through the Event Registrants page.
→ Users will receive the questionnaire even if they have attended 1 minute of the session.
→ For example, if a Live Session is scheduled for today from 11 am to 12 am, the questionnaire will be delivered to the users who joined after 12 am, and once the attendance data are added to them.
→ Once the user receives the questionnaire and completes it, they will receive their event certificate.

Reporting

→ In Report Builder, in the Live Sessions Report, for each user you will be able to track:

  • the time attended (Attendance Duration (minutes) field, which already exists)
  • the completed questionnaires (Completed Questionnaires field, to be added in this implementation)
