Registering Users for an Event

Users with Admin rights, Training Managers who have the Invite/register members permission enabled as well as Managers with the Register Members to Events permission enabled will be able to register users to events through the Register Users page.

In order to register users to your event, navigate to your Administration panel, and under Live Sessions/In-Class Trainings select Manage Events.

Find the event in question, click on the Manage Event option, and then select Register Users.

You have the option to register specific individuals (Individual Registration) or you can select a group of employees based on their job and location (Advanced Registration).

Note: If you are registering users to a Course-Connected event, only users enrolled in this course will show up.

After the user-selection, add a message and an attachment (if needed) and hit Register.

Note: When registering users for an event from the Advanced Registration page using an Organizational Template, the user performing the registration may also be included in the registration results, provided they match the selected template criteria.

 

User Registration - Notes

  • Please note that you will also have the option to add registrants after the completion of the event.
  • You will not be able to add registrants if your event is an invitation-based event.
  • You will still be able to add registrants while your event is in progress.

Moreover, admins can bulk register multiple users for a specific event by uploading an Excel import file containing the attendees’ information. However, a single template cannot be used to bulk register multiple users for multiple events simultaneously.

To do this, navigate to the Register Users page, click the download icon to download the template, complete the file with the required information, and then click the upload icon on the left to upload the updated file. Please note that there is no limit to the number of records that can be added through the template.

Registering Multiple Users Using the Import Template

This bulk registration functionality helps reduce repetitive manual work and makes large enrollment processes faster, more efficient, and easier to manage.

Once the template has been completed and uploaded, the system validates the data and generates a CSV report containing the import results and any detected errors. A notification message is then generated to indicate whether the bulk import process was successful or failed.

  • “Your bulk event import was successful”
  • “Your bulk event import failed”

These notifications are available only if the relevant notification setting is enabled in your academy. You can enable it by navigating to:

When no attendance data is provided for a row in the uploaded template, the corresponding “Change Attendance Data Status” field in the generated CSV report remains empty. Since no attendance information is submitted, the existing attendance data for that user is not updated or overridden.

When the “Score” field is left empty for a row in the uploaded template, the corresponding “Score” field in the generated CSV report remains blank. Since no score value is provided, the system does not assign or display a default value.

  • The user is already registered for the event. In this case, the row is counted as failed and the report displays an “Already registered” indication.
  • The user could not be registered due to invalid or incomplete data.

 

Additional notes

  • For course-connected events, the associated course must be set to Public in order for managers to register members for the events.
  • If you use a template and leave the 'attended' column empty, it will simply register the user. They will not have neither Attended or Absent selected.

  • When a user is deactivated, they are automatically unregistered from any upcoming events where they have not yet been marked as attended. The seats released by this action become available for other registrants. If the user is later reactivated, they will not be automatically re-enrolled in those events.
  • To grant Training Managers the Invite/Register Members permission, ensure that the academy setting Who can invite/register members to Events (located in the Event section) is also enabled for Training Managers.

  • Let’s also clarify the meaning of two permissions related to user registration for events:
  • Manage event members: This permission allows you to manage users listed on the registrants' page for an event.
  • Register members to events after the registration deadline: This permission enables you to add users to the registrants' page after the registration deadline has passed. Please note that this permission can only be enabled if the "Register Members to Events" permission is already activated.


As an Admin, Training Manager, or Manager with the Manage Event Members permission enabled, you can approve participant requests by navigating to Manage Events and selecting Registrants/Participants for the relevant event.

Please note that, in order for Training Managers to manage event registrants, you must ensure that the academy setting “Who can manage Event Team Members” under the Events tab has the Training Managers option selected.

Important: If you are a Manager with the Manage Event Members permission enabled, you can approve or decline participant requests only for users within your organizational structure.

Under Approved, select your desired option from the drop-down menu.

You can also view all users who have applied for an event and are currently waiting for approval on the waiting list, as well as approve their applications. To access the waiting list, open your Admin Panel and navigate to In-Class Events > Waiting List. From there, you can select a specific event and approve each user’s application individually.

The indication "waiting" in the Registrants list of your event, will help you distinguish the ones who have reserved a seat.

As an Administrator, you can also use the Report Builder to generate a report that identifies users currently awaiting approval on an event’s waiting list. For detailed instructions, please refer to the Waiting List Reports article.

Auto-Registration for In-Class Events

Learners are automatically registered for an In-Class Training event when they are assigned to a course where the event is the only step included in the course structure. This functionality applies exclusively to In-Class Training events and is triggered only when no additional course steps are present.

Please note that the system does not take into account whether the event is marked as required for course completion.
