Verifying Course Access Based on Location Restrictions

As an Administrator, Training Manager, or a Manager with the “Limit Access” permission enabled, you can restrict your hourly employees’ access to training based on their location. This helps you ensure that the right training is available to the right people, depending on where they work. For step-by-step instructions on how to set this up, please refer to the article Restricting Access to Training Based on Location”.

Once the configuration has been completed as outlined in the article above, learners can verify whether they have access to a specific course by using the following URL:
https://app.schoox.com/course/check_ip.php?cid=XXX

Before sharing this link, make sure you replace XXX with the actual Course ID. You can find the Course ID either in the course URL in your browser or by generating a Courses Info report and adding the Course ID as an additional field.

Here is an example of the information that will be displayed on the course page when accessed via this link, in cases where the user’s access to the course is restricted based on your configuration:

On the left side of the screen, learners can verify whether the course has been configured with limited access to specific units, whether they are considered hourly workers in the academy, and which units have restricted access.

If learners are not physically located in any of the allowed units, a “BLOCK ACCESS” message will be displayed. Based on these conditions, the system determines the final result, showing either “BLOCK ACCESS” if no units grant access, or “ALLOW ACCESS” if the criteria to access the training are met.

Important note: If the academy setting “Allow hourly workers to access courses if they’re located in an approved unit” is enabled, hourly workers with limited access will be able to access their assigned training when they are physically present in any approved (limited) Unit. This applies even if they are not currently associated with those Units within the organizational structure.
 

If they do not meet the access criteria, they will see the following message when attempting to access the course, indicating that they do not have permission to view the training:

If access is granted and no restrictions apply, learners can use the URL to confirm that they are allowed to access the course, as an “ALLOW ACCESS” message will be displayed.
