Updated Onboarding Experience

This release updates the Onboarding experience in a variety of ways behind the scenes.

  • Messages will no longer be sent to participants. Only announcements and emails will be used to communicate with participants. This is meant to minimize communication overload and possible confusion.
  • The options of the sender dropdown will now be the following:
    • Administrator, meaning the academy's super admin
    • creator of the profile/template,
    • direct supervisor of the assignee
    • custom text field
  • The definition of what onboarding completion means has been clarified.
    • A user is considered "onboarding completed" when their training completion rate reaches 100%. Once completed, any subsequent items added or edited in the profile will not affect their completion rate — they're locked in as done.
    • The completion rate formula depends on the profile type:
      • Profiles that include time-based flow: (Training items completed by the learner ÷ Total training items in the profile) AND the learner has reached the last day/week of the time-based flow.
      • Profiles without time-based flow (activity based only): Training items completed by the learner ÷ Total training items in the profile.
      • Only assignment-type items (courses, microlearning courses, learning paths) count toward the calculation. Invitation-type items and announcements are excluded.
      • If a user's onboarding is not yet completed, adding/editing/deleting activities in the profile will affect their completion rate accordingly.
      • If a course/LP is added or replaced in a step the user has already passed, it gets assigned (or invited) at the user's current step.
  • What it means to drop out of an onboarding profile has been clarified:
    • When an assignee is deactivated
    • When an assignee gets unassigned form an onboarding training item
  • Profile dates have been made editable
