Overview
If someone joins a Schoox virtual event using the Microsoft Teams meeting link but is not registered for the event in Schoox, Microsoft Teams may immediately send them a meeting cancellation email.
This is expected Microsoft Teams behavior and does not indicate that the Schoox event has been cancelled.
Why this happens
When a virtual event is created in Schoox using Microsoft Teams, the Teams meeting is associated with the participants who are registered for the event.
If a user receives or accesses the Teams meeting link without being registered in Schoox, Microsoft Teams identifies them as someone who is not an invited participant and may automatically generate a cancellation notification.

If a user receives or accesses the Teams meeting link without being registered in Schoox, Microsoft Teams identifies them as someone who is not an invited participant and may automatically generate a cancellation notification.
What does this mean?
- The Schoox event remains active.
- The Teams meeting has not been cancelled.
- The cancellation email applies only to the unregistered individual who attempted to join using the meeting link.
Best practice
To avoid confusion, ensure that anyone attending a virtual event is first registered in Schoox before joining through the Microsoft Teams link.
If additional attendees need to participate, register them for the event in Schoox so they receive the correct meeting invitation and participant status.
