Add Three Scheduled Notifications For Overdue Training, Upcoming Due Dates, and Expirations

Release date 7 October

With this release, managers now have three consolidated scheduled notifications that bring together training status that used to be split across separate course and learning path alerts. Whether it's who's falling behind on a due date, who's coming up on one, or whose certificate has expired, each notification sends one clear, downloadable report.

None of these merged notifications are enabled by default; if you'd like to merge these notifications as described in this article, please reach out to Support or your representative.

To access these notifications, navigate to the Admin > Notifications > Scheduled.

Overdue Training

The Course or learning path due dates were missed notification sends managers a single email with a Download full list button. Selecting it downloads one CSV listing every course and learning path their team members have missed the due date for — no more checking a separate notification for courses versus learning paths.

Upcoming Due Dates

The Learners haven't completed courses or learning paths that are due soon notification works the same way, giving managers advance notice of everything coming due for their team in a single report.

Certificate Expirations

The Course or learning path certificates have expired notification rounds out the set, covering expired course and learning path certificates for a manager's team in one file.

How It Works

Once turned on for your academy, an Academy Admin configures it just like any other scheduled notification — choose whether the email is on, edit its subject and body, and set a schedule (weekly, monthly, or with reminders). Recipients default to four manager roles: Unit Manager, Assistant Unit Manager, Direct Head of Above, and Direct Assistant Head of Above.

Selecting Download full list in the email requires the manager to log in to Schoox first, then downloads a CSV scoped to only the learners that manager manages. Each report link stays active for 1 year. If a manager has nothing to report when a notification is scheduled to send, no email goes out to them for that cycle.
