Licenses Versus Coupons

Both ways of purchased courses have an expiration date and a specific number of users that can use them.

Let's take a closer look at the differences:

Licenses Coupons
An allocated license can be moved to another user. Used coupons cannot be transferred to other users and cannot be manually revoked.
A subscription cannot be removed/canceled. A coupon can be deleted from the academy.
A license is tied to a package of courses. A coupon code is tied to a course.
The Report Builder does not contain any license-related report. The Report Builder contains the Courses Coupons Report.
There are several system email notifications for licenses.

There are several system email notifications for coupons as well as two academy ones:

  • Notification when a coupon has run out of quota
  • Notification when a coupon’s expiration date is reached
There's the ability to bulk associate courses with categories.

The courses cannot be bulk associated with categories. That ability exists per course.

There's the ability to mass-mark courses as compliance.

The courses cannot be mass-marked as compliance.

There's the option to show all courses in the academy.

There's the option per course to show in the academy.

Courses that are part of a curriculum: the license allocation should take place first. Otherwise, the courses assignment will not be applied to the users that don't have a license.

Courses that are part of a curriculum: if the coupon course has enough available quota, the courses assignment will be applied to the users.

Courses that are part of a curriculum: if the subscription has no more licenses, the courses assignment will not be applied to the users. If they attempt to access the course, they'll get the message "You can't attend this course because it's part of an academy's subscription. Reach out to your academy's administrator to have a license allocated to you."

Courses that are part of a curriculum: if the coupon runs out of quota, the courses assignment will not be applied to the users. If they attempt to access the course, they'll get the message "You can't attend this course because it's a paid course. If you want to enroll to course, you must buy it first."

If a course is part of a curriculum and the relevant subscription expires:

  1. All enrolled users remain enrolled in the course.

  2. The course is not removed from any curriculum it is part of.

If a course is part of a curriculum and the relevant coupon expires:

  1. If a user has already used a coupon quota then they remain unaffected; they can still use the course. 

  2. The course is not removed from the curriculum but it becomes greyed out.
