Some users need unrestricted access to view all members and groups within Schoox, regardless of the organizational structure or hierarchy. This requirement is crucial for organizations looking to ensure top-down visibility and centralized reporting. This update adds an option to add a custom role if special requirements are needed above and beyond the default roles already provided.
Admins can create custom roles with specific permissions.
This is done by selecting Admin in the top navigation bar. Then, under Team Members on the left, Set Up Organization, and finally Roles.
The default system roles will be available for you to review each permission set.
Adding Custom Roles
To add a custom role, select Add role. Then type in the name of the new role, and Save.
Then select any permissions that apply from those available to select. Any permissions grayed out are not available for selection by design.
Save when finished.
NOTE:
- To see why a permission is grayed out and unavailable, hover over its information icon.
- Manage resource categories, group categories, and training categories permissions are now also available.
Managing Roles
Select Admin in the upper navigation bar. Then under Team Members, Manage Team Members.
Here you can see which role each individual has been assigned, if any. A new Custom Role column has been added to the System Roles.
To assign individuals system roles, including any custom roles, select their Edit Roles.
In the window that appears, check the appropriate boxes, and save.
Hovering over the check mark in the Custom Role column reveals the individual's custom role or roles.
Adding Members with Custom Roles
Custom roles will appear in both when manually adding members and when using the spreadsheet template.
Sorting
Previously, the icons for each of the roles were active, allowing for sorting of each. This functionality was removed, due to the addition of custom roles and how they function.
Since more than one custom role can be added, the decision was made to have sorting moved to its dedicated drop-down menu.
NOTE: When a custom role is removed, any rules set up by members while in that role will be transferred to the admin.
