Adding Skills to Your Academy

Once you, an academy Admin, have enabled the Skills Management feature for your academy, you are ready to find and add the desired academy skills. The skills that you will add will be the ones that will be assessed on each user. So, you need to determine which skills are relevant to your Academy.

Adding Skills

To add skills, click on the Admin tab, select the Skills Management tab from your Administration panel and select Manage Skills.

This gives you an overview of all skills in your academy.

There are two ways to add skills: manually and from the database.

Schoox provides you with several common skills you can use for your academy! It’s like having a database of skills available. The skills provided are of the default Skill Type. To see all of the available system-defined skills just click on Add skill and select Add from Database.

A list of skills will appear. You can use the search function to find the name of a skill you might be interested in adding.

If you want to add one of the system-defined skills to your academy, select the checkbox under Actions and click on Add to Academy.

Once the skills have been added to your academy, you can edit them based on your needs. Just click on the edit icon next to the relevant skill title!

From this page, you have the option to edit the selected skill along with the description per proficiency level (if you have enabled the proficiency levels for your academy). Moreover, you can select a language for each of your academy skills.

Please note: The languages available here are the UI languages you have selected in your Academy's settings. Each user will see the skills titles and descriptions that are saved for their UI language.

Don’t forget to Save your changes when finished!

 

Bulk Upload of Skills via Template

You can upload multiple skills at once by using the provided template file.

To access this feature, navigate to the Active Skills tab, where you will find the Upload File and Download Template options.

Use the Download Template button to obtain the template file, then populate it with the skills you wish to upload to your academy.

Important Guidelines

  • Remove any sample groups, skills, and categories included in the template and replace them with your own data.
  • Group names must not exceed 80 characters.
  • Category names must not exceed 130 characters.
  • The template file must contain no more than 100 rows of data.

Additional Notes

  • If a row contains a group name that exceeds 80 characters, the skill will still be created; however, it will not be assigned to any group. 
  • If a row contains a category name that exceeds 130 characters, the skill will still be created; however, it will not be assigned to any category.

Proficiency and Priority

When you select the skills you want to add, and click on Map Skills, it will ask you to select the proficiency level and priority.

The proficiency level is the expertise someone should have for this role - the options for these are set under the Academy Settings for skills. The priority level decides how much each skill 'weighs' for the job or course.

For example, the following screenshot has a priority of 1, 0.25, and 0.75. This adds up to 2 total, making 2 equal to 100%.

To figure out how much each skill weighs, you divide the number by the total to get the percentage.

Displaying responsible behaviors at work: 1 out of 2 -> 1 / 2 = 0.5 = 50%

Skill: 0.25 out of 2 -> 0.25 / 2 = 0.125 = 12.5%

Working with others from a range of backgrounds: 0.75 out of 2 -> 0.75 / 2 = 0.375 = 37.5%

Total: 50% + 12.5% + 37.5% = 100%

Grouping Skills

Once you have added all the appropriate skills you can put them into groups for easy distribution by going to the Grouping Skills page.

To add a group, name a new group, and click Add New. To add skills to a Group click on the arrow next to the group.

In the column on the right, there are all the skills that are associated with your Academy. To add skills to a Group click the plus symbol. You can remove any skill by clicking its "x".

The next step is associating these skills and skill groups with specific jobs and courses.
