Differences Between Standalone and Course-Connected On-the-Job Trainings (OJTs)

This article outlines the key differences between Standalone and Course-Connected On-the-Job Trainings (OJTs) in terms of setup, accessibility, features, and limitations, to help you determine which type best fits your training needs.

1. Setup Location

  • Course-Connected OJTs
    These are created within a specific course. To set them up, navigate to the On-the-Job Training tab within the desired course panel.

  • Standalone OJTs
    These are created independently of any course. To create one, hover over the Training menu, select On the Job Training, and click Create New On the Job Training.

2. Access & Visibility

  • Course-Connected OJTs
    Learners will see the OJT only if they:

    • Are enrolled in the associated course

    • Have been assigned the course

    • Have access to the corresponding training category

  • Standalone OJTs
    Can only be assigned by managers directly to learners.

3. Features

  • Course-Connected OJTs

    • Support task pools, which are reusable groups of tasks across multiple OJTs.

  • Standalone OJTs

    • Do not support task pools. This feature is only available in course-connected OJTs.

4. Relationship to Courses

  • Course-Connected OJTs

    • These are directly linked to a specific course and appear as part of the course content.

  • Standalone OJTs

    • Exist independently from courses.

    • Can be copied into a course if needed, although task instructions will not be transferred during the copy process.

5. Additional Notes

  • Completion Dates

    • Cannot be edited for standalone OJTs.

  • Assignment Rules

    • Assignment by rule is not supported for standalone OJTs.

    • Reassignment by rule is supported.

  • Completion Data

    • If a standalone OJT is copied into a course, it will not retain any prior completion data.

  • Sign-Off Restrictions

    • Standalone OJTs do not support job role-based sign-off restrictions.

  • Dashboard Reporting

    • The dashboards for standalone OJTs differ from those associated with course-connected OJTs.

  • Onboarding and Learning Paths

    • Standalone OJTs cannot be included in onboarding flows or learning paths.
